An internal workflow built for GraceKSEO's own website enquiry process. The system captures a form submission, classifies it consistently, records it in a structured tracker, and follows up only when the latest lead status requires action.

The business problem
GraceKSEO may receive enquiries with different budgets, needs, and levels of readiness. Handling every submission manually would require repetitive copying, categorization, status checking, and follow-up.
This internal project creates a repeatable lead journey while GraceKSEO still controls the current sales status and final business decisions.
Solution architecture
What the workflow does
Receives the submitted form and maps the incoming values into a consistent lead record.
Uses defined rules to direct leads into the appropriate category and processing path.
Appends each categorized lead to Google Sheets so status and follow-up activity remain visible.
Uses conditional logic to send the relevant initial email when the lead meets the required criteria.
Waits for the defined period, reads the latest lead status, and follows up only when action is still required.
Marks the follow-up as sent, providing a clear record and reducing the risk of duplicate communication.
